How Pillars of Wellness Built Its Own Business Software, Without a Single Engineer
Techpoint's case study on how a mental health practice built the platform it runs on, with AI that checks the work and people who make the decisions.
“If our reviewers never disagreed with the AI, that would worry me more than if they always did. Agreement only means something when disagreement is possible.”
Dr. Ashley Michalski, Chief Operating Officer, Pillars of Wellness
A clinic that built its own operations software
Pillars of Wellness is a mental health practice serving Indiana and Illinois. Instead of buying a separate system for every job, our team built its own platform for the day-to-day work of running a practice, with AI built in and people making every decision.
A few of the tools our team built and uses every day:
- Partner billingRate cards for each partner organization, logged work recorded against them, and invoices generated from that work.
- Offer lettersBuilt from the practice's compensation charts, emailed to the candidate and signed online.
- HandoffsWhen someone leaves, their work moves to the right person, on a deadline.
- TicketingBuilt-in ticketing where the person who reported a problem confirms the fix.
- IntakeNew client inquiries tracked from first contact onward.
- Licenses and certificationsRenewals tracked before they lapse.
“AI proves, people attest.”
AI can check whether something is true, but the decisions stay with the people who do the work. That rule shapes every one of our hubs.
The rule at the center of the Techpoint case study
See it working
A look at a few of the hubs our team uses every day.

When something is fixed, the person who reported it confirms it.
Invoices, payments and balances in one place, without a spreadsheet.
Requests wait for the right person to approve them, so nothing slips through.
What changes
- Tasks that took hours now take minutes.
- Communication gaps are filled by automatic notifications.
- Nothing stalls quietly: work that sits too long moves to the next person.
- Information is entered once and shows up everywhere it's needed.
What we build for others
The same approach has carried beyond the practice. We have built tools for other organizations too.
Workflow automation
The repetitive steps your team does by hand, like copying data between systems, chasing approvals and tracking deadlines, turned into workflows that run on their own and escalate when something stalls.
Internal tools and hubs
Connected tools for the work your organization actually runs on, such as partner billing, offer letters, handoffs and ticketing, all sharing one database so nothing is entered twice.
AI built into daily work
AI that organizes the evidence and checks the details, so a qualified person can make the call faster. It recommends; people decide.
Websites
Our own site, pillarsinspires.com, is one we built and run. It is connected to our hubs, so updates made there show up on the site on their own.
Websites, built and maintained
We design, build and maintain websites for other businesses. The site you are reading is one we built and still run ourselves.
Design
A site planned around what your visitors come to do, in your organization's look and voice.
Build
Pages your team can keep current, connected to the tools you already use where that helps.
Ongoing maintenance
After launch we keep making changes for you: new pages, updated content and fixes as you need them.
How it works
- Talk: Tell us how your organization runs today and where the work gets stuck.
- Map your workflows: We map the steps, the people and the handoffs, and agree on what to build first.
- Build: We build your tools in small pieces, so you see working software early and often.
We start with one small tool, so you see it working early and decide what comes next.
After launch
We provide ongoing support.
